What Is an Education CRM? Why Schools and Centers Need an Enrollment CRM

An education CRM (enrollment CRM) is a system for managing relationships with parents and students. It helps schools and centers bring every lead from Facebook, Zalo, the website and the hotline into one place, track each step from consultation and trial class to enrollment, and then keep caring for students so they re-enroll. Education providers need a CRM because without one, leads slip through the cracks, departing consultants take the data with them, and the leadership team has no idea which channels actually bring in students.

Signs your school or center needs an education CRM

If three or more of the signs below sound familiar, it's time for a CRM:

Having to "repeat yourself" is not only annoying; it directly affects how people see your organization:

According to Salesforce, 79% of customers expect consistent interactions across departments, yet 56% often have to repeat or re-explain information. — Source: Salesforce – State of the Connected Customer, 2025

In education, those "departments" are admissions, academic affairs, accounting and teachers. A CRM is what lets them all see the same parent record. To understand where a CRM fits into your overall strategy, read our article what is education marketing.

Why do enrollment leads slip through the cracks?

Today's parents move across several platforms before getting in touch:

At the end of 2025, Facebook had 79.0 million users and TikTok had 76.1 million users aged 18 and over in Vietnam (based on advertising reach data). — Source: DataReportal – Digital 2026: Vietnam, 2026

A parent might watch a video on TikTok, message your Facebook page about fees, call the hotline and finally visit the campus. If each channel is managed and recorded by a different person, the center ends up with four different "parents" when in reality there is only one. That's why leads get duplicated, forgotten or called by two staff members at once.

How is an education CRM different from a standard sales CRM?

That's why a CRM for schools and centers should be designed around the student journey, not just around orders.

Must-have features of an enrollment CRM

1. Multi-channel lead capture

Leads from Facebook ads, website forms, Zalo OA, chatbots and the hotline flow into the CRM automatically, tagged with their source and campaign.

2. Enrollment pipeline

Clear stages, for example: New, Contacted, Trial class booked, Trial class attended, Awaiting payment, Enrolled, Not a fit. The leadership team can see where the "bottleneck" is from a single screen. How to design the stages is covered in our article on the enrollment funnel.

3. Lead assignment and task reminders

Leads are automatically assigned to consultants by area, course or rotation; the system reminds them to call back and to confirm trial classes.

4. Interaction history

Every call, message and note is saved on one record, so whoever picks it up understands what the parent is interested in.

5. Lead scoring

Prioritize "hot" leads based on behavior: asking about fees, asking about start dates, having attended a trial class.

6. Reports and dashboards

Number of leads, conversion rates at each step, cost per student by channel and each consultant's performance. The metrics to track are explained in our article on education marketing metrics.

7. Post-enrollment care

Connect with class and tuition management to send reminders, share results and invite students to re-enroll at the right time.

The real benefits of an education CRM

That last benefit is often underestimated:

"88% of customers say good customer service makes them more likely to purchase again." — Source: Salesforce – State of the Connected Customer, 2025

For a training center, "purchasing again" means re-enrolling in the next course, or signing up a student's younger sibling or friends.

Steps to roll out an enrollment CRM

  1. Map your current enrollment process: where leads come from, who handles them and the steps through to enrollment.
  2. Standardize pipeline stages and data fields (source, course of interest, age, level).
  3. Clean and import existing data: merge duplicates and remove invalid phone numbers.
  4. Connect your channels: ads, Facebook page, Zalo OA, chatbot, website.
  5. Train the team and set rules: how quickly new leads must be contacted and how notes should be written.
  6. Review reports every week and adjust your consultation scripts and ad budget.

A common mistake is buying feature-rich software without changing the process. A CRM only works when the team updates data consistently and leadership uses the reports to make decisions.

How does Nex Agency implement an education CRM?

At Nex Agency, the enrollment CRM is part of the Ed-tech pillar of our education solutions, alongside class and teacher management, receivables, parent and student apps, and an LMS. At the top of the funnel, the enrollment chatbot and ads feed leads straight into the CRM so you can measure the performance of each channel. Our Consulting pillar helps review your processes and design the funnel before the software is rolled out.

All three education combo packages (Strategy, Growth, Breakthrough) include an enrollment and student CRM with dashboards. For centers that need end-to-end operations management, Nex Edu combines enrollment, class scheduling, QR attendance, VietQR tuition collection and reporting in one system; see the criteria comparison in our article on training center management software. Package pricing is available here.

Frequently asked questions

Is an education CRM suitable for a small center?

Yes. Small centers usually have few consultants, so they need automated reminders and centralized data even more. You can start with a simple pipeline and a few main channels.

Can we use Excel or Google Sheets instead of a CRM?

In the early stages, yes, but spreadsheets don't pull in leads from your channels automatically, don't send reminders, are hard to set permissions on and are error-prone when several people edit them. Once your leads exceed what you can track by hand, switch to a CRM.

What is the difference between an enrollment CRM and center management software?

A CRM focuses on the pre-enrollment stage and customer care. Center management software also covers class scheduling, attendance, tuition and teachers. Ideally the two are connected or part of the same system.

How long before a CRM starts showing results?

Within a few weeks of use, you'll clearly see your lead numbers and the bottlenecks in your pipeline. Improvements in enrollment and re-enrollment rates usually become clear after one enrollment season.

How do we get consultants to actually use the CRM?

Keep the process simple, connect your channels so they don't have to enter data by hand, and use the CRM data itself for evaluations and rewards. When the CRM helps them close more enrollments, using it becomes a habit.
